Chapter 3

3. Archiving and restoring

Start all archive and restore work in Iconik. XenData for Iconik has no button that starts a job.

3.1 Start a job in Iconik

  1. In Iconik, select the assets, a collection, or a saved search.
  2. Open the custom actions menu.
  3. Select the archive action or the restore action.
  4. If the action shows a form, complete it and submit it.
You select XenData for Iconik works on
One or more assets The selected assets
A collection Assets in that collection and its subcollections that can receive the action
A saved search Assets that the saved search finds and that can receive the action

Run the action once for each collection or saved search.

The action names and forms are set by your Iconik administrator. See Iconik requirements.

3.2 Which assets are archived or restored

XenData for Iconik checks each asset before it sends work to XenData. An asset that does not need the work is skipped. A skipped asset is not an error.

Action Asset is processed when Asset is skipped when
Archive The original file is on ISG storage and not yet on archive storage It is already archived, or its original file is not on ISG storage
Restore The asset is on archive storage and not on ISG storage It is not archived, or it is already on ISG storage

Iconik shows the reason for each skipped asset. See Skip reasons.

XenData for Iconik works on the original format only. Proxies and other formats are not archived.

3.3 Delete the disk copy after archive

Your archive action can include a Delete After Archive choice. When it is set to true, XenData for Iconik removes the asset's original file set on ISG storage after the archive. It does this only when XenData confirms the tape ID for that asset.

When it is not set, the ISG copy stays in place. Restore never removes the archive copy.

3.4 Archive paths on tape

XenData for Iconik keeps each file's folder structure on tape. The tape path is the file group, followed by the folder path from ISG storage.

Source on ISG storage Path on tape
Media/Sources/Project/video.mxf Iconik\Media\Sources\Project\video.mxf
Media/Outputs/Final/video.mxf Iconik\Media\Outputs\Final\video.mxf

This example uses a file group named Iconik. Two files with the same name in different folders do not collide.

Versions before 2.0 put every file directly in the file group, without folders. Those assets are still on tape at the old path. XenData for Iconik reads the Xendata Archive Template Version field on each asset. It then restores from the correct path. You do not need to do anything different for older archives.

3.5 After you start a job

XenData for Iconik collects the request in a few seconds when it is running. It creates the jobs in Iconik, checks each asset, and sends qualifying assets to XenData. XenData sends progress updates back to XenData for Iconik, which updates Iconik.

Tape work can take a long time. A tape may need to load before the work starts. Follow progress in Iconik. See Following jobs in Iconik.

Do not run the same action again while the first job is still running. XenData for Iconik does not send the same asset to XenData twice at once. A second request for the same assets can still create extra jobs that you must check.
